Read the inbox
The agent scans the owner's email for invoices, bills, subscription receipts and payment confirmations — both money going out and money coming in.
Small business owners
An AI agent that reads a small business's inbox, files every invoice and receipt, matches them to uploaded bank statements and keeps a master spreadsheet ready for the accountant — every single month.

The challenge
For most small business owners, bookkeeping happens once a year — in a panic. Invoices are buried in email threads, receipts are scattered across inboxes and downloads folders, and bank statements sit unmatched until the accountant asks for them.
The result is lost weekends, missed deductible expenses, higher accounting fees for sorting messy records, and a tax year that is closed under pressure rather than with confidence.
The approach
The agent scans the owner's email for invoices, bills, subscription receipts and payment confirmations — both money going out and money coming in.
Each document is identified, named consistently and placed into the right folder by month, category and supplier or client.
Uploaded bank statements are reconciled line by line against the documents found, so every transaction has its evidence — and gaps are flagged.
The sample workbook brings together a bank transaction ledger, separate income and expense invoice registers, and monthly and annual accountant summaries. Each transaction can carry its date, description, debit or credit, currency, business category and purpose, invoice number, supporting document link, matching status and review notes. Tax shown on source invoices is recorded for the accountant to review — not inferred as tax advice.
At year end the workbook is ready to send, so the accountant reviews and files instead of chasing and sorting.
The agent continues the preparation each month. The workbook makes missing receipts, unmatched credits, review items and statement coverage visible, so owners can resolve outstanding questions throughout the year rather than discovering them at tax time.
From year-end panic to a continuous monthly close
| Before | What the agent does | Result for the owner |
|---|---|---|
| Invoices lost in email threads | Finds and extracts every invoice and receipt automatically | Nothing deductible is missed |
| Folders sorted by hand, if at all | Files documents by month, category and supplier | Any document found in seconds |
| Bank statements reconciled at year end | Matches each transaction to its evidence and flags gaps | Clean, explained records |
| Accountant paid to sort the mess | Delivers a master workbook ready for review | Lower fees and a faster close |
| Transfers mistaken for income or expenses | Tracks inter-account transfers and owner reimbursement questions separately | Accountant can review movements without automatically treating them as revenue or deductible costs |
| Unclear records hidden in a spreadsheet | Maintains missing-documentation and reconciliation-exception lists | Outstanding evidence and decisions are visible before the year-end handover |
| No clear trail back to source documents | Keeps a document manifest, statement control checks and audit trail | Records can be traced back to their supporting evidence |
